Home Working Equipment Policy

Effective Date: 14 April 2025 

Applies To: All employees (excluding contractors) of Neuromatch Inc., including those hired via an Employer of Record (EOR). 

1. Purpose
This policy outlines Neuromatch’s support for employees working from home by providing essential equipment to enable a safe, productive, and comfortable remote work environment.

2. Eligibility
All new employees on permanent or fixed-term contracts, including those hired via an Employer of Record (EOR), are eligible for a one-time Home working Equipment Allowance of up to $1,500 USD. Contractors, consultants, and interns are not eligible for this allowance.

3. Allowance Details
The allowance may be used for:
  • Laptops or other computing devices and associated warranties
  • Homeworking essentials (e.g., desk, ergonomic chair, monitor, keyboard, mouse, webcam)
Employees may either be reimbursed upon submission of receipts or request that the organization procure items on their behalf, in line with Neuromatch’s procurement procedures. All requests must be reviewed and approved by the employee’s line manager prior to purchase. The allowance must be used within the first three months of employment.

4. Ownership and Conditions
Equipment purchased through this allowance, including laptops, will become the property of the employee after 12 months of continuous employment. If the employee’s contract ends for any reason within the first 12 months, Neuromatch may request the return of the equipment, or deduct the depreciated value from the employee’s final paycheck, where legally permissible.

5. Review of Needs
Employees’ home working equipment needs will be reviewed every three years, or sooner if there is a material change in role, responsibilities, or health and safety requirements. Replacement of key equipment before or after the three-year review period will be based on need and subject to the discretion of the line manager and CEO. 

6. Responsibilities
Employees are responsible for the appropriate use, care, and security of equipment provided, especially laptops which may contain sensitive data. Any loss, theft, or damage must be reported immediately. Neuromatch will support employees with the replacement of essential equipment in cases of theft or damage that occur outside the employee’s control. Employees may be liable for replacement costs in cases of negligence or misuse.

7. Exceptions 
Any exceptions to this policy must be approved in writing by the CEO or President.
