Purpose

Neuromatch’s financial processes exist to ensure we are:
  • Responsible stewards of charitable funds
  • Compliant with grant, tax, and legal requirements
  • Transparent and consistent in how we approve and spend money
  • Efficient in day-to-day operations (minimising delays and confusion)

Fiscal Year

Neuromatch’s fiscal year runs from January 1 through December 31.

Core principles

  • Spend only on mission-aligned and budgeted activities
  • Maintain clear documentation for every transaction
  • Follow appropriate financial controls (request → approve → pay → reconcile)
  • Comply with grant restrictions and donor intent
  • Prioritise financial sustainability and runway awareness

Financial roles and responsibilities

Chief Executive Officer / Chief Financial Officer (CEO/CFO) — Bradley Roberts
Bradley Roberts serves as Neuromatch’s CEO and also acts in the capacity of the organisation’s Chief Financial Officer (CFO). Responsibilities include:
  • Overall financial accountability and budget ownership
  • Approval of spending within authorised limits
  • Oversight of financial reporting, cashflow, and runway
  • Regular financial updates to the Board of Directors and Community
Program Administrator — Laura Poli
Laura Poli manages key operational finance processes, including:
  • Payroll administration
  • Supporting day-to-day finance workflows (invoices, reimbursements, documentation)
  • Coordination with external bookkeeping support
Treasurer (Board of Directors) — Recruitment in progress
Neuromatch is currently recruiting for a Treasurer role on the Board of Directors. The Treasurer will:
  • Provide Board of Directors-level financial oversight
  • Serve as Chair of the Finance, Audit & Risk Committee
  • Support review of financial reporting, risk, and controls
External Bookkeeping Support — Jitasa
Neuromatch uses external bookkeeping services from Jitasa, a firm that works exclusively with nonprofit organisations. Jitasa provides ongoing bookkeeping support and produces Neuromatch’s monthly financial statements. They also manage Neuromatch’s annual IRS Form 990 filing and support charitable registration filings, where required. Jitasa works closely with Neuromatch’s internal finance team (CEO/CFO, Program Administrator, and Treasurer once appointed) through fortnightly meetings to ensure:
  • Accounts receivable (incoming funds) are tracked accurately
  • Accounts payable (outgoing payments) are processed smoothly
  • Bookkeeping and reporting reflect Neuromatch’s financial position accurately
Jitasa also supports Neuromatch’s annual financial audit process, working in close coordination with Bradley Roberts and Laura Poli to provide documentation, reporting, and audit-ready financial records.

Spending approvals and authorised limits

Neuromatch follows formal approval thresholds for expenditures. These authorised limits are set out in the organisation’s corporate bylaws.
  • Expenses under $10,000 USD: approval required from the CEO/CFO
  • Expenses of $10,000 USD or more: approval required from the President and/or Board of Directors
All spending should be:
    Within budget, and
    Approved before purchase or commitment

Budgeting and financial planning

Neuromatch maintains an annual operating budget and performs monthly budget-to-actuals review to:
  • Improve the accuracy and predictiveness of future budgets
  • Identify deviations and emerging risks early
  • Adjust financial planning based on real-world performance
Neuromatch also provides a monthly financial update as part of the  CEO & Core Team Update , summarising:
  • Current financial position
  • Key changes since the prior month
  • Estimated organisational runway

Runway expectations

Neuromatch seeks to maintain a consistent 24-month financial runway.
Where required, Neuromatch may allow runway to decrease to as low as 6 months, without immediate changes to personnel or assets, while financial strategy and sustainability options are evaluated.

Annual IRS Form 990 filing

Neuromatch completes an annual IRS Form 990 filing, which is a required nonprofit tax return and a key tool for transparency and accountability. It provides a public record of Neuromatch’s:
  • Financial position and activities
  • Governance and compliance practices
  • Revenue sources and major expenditures

Annual financial audit

Neuromatch conducts an annual independent financial audit to strengthen financial governance, validate financial reporting, and provide assurance to stakeholders including funders, partners, and the Board of Directors.
Neuromatch completed its first annual audit for FY2024 financials as the organisation matures and scales. This will continue annually going forward, and the most recent audit report can be found below.
