Onboarding process guide

This document outlines the necessary steps for onboarding new employees, ensuring they have all the access and tools needed to get started.

Technical Access

Google Workspace

Email address

To create a new user, go to  https://admin.google.com/ , click Users, and select Add New User.
Fill out the required information:
  • First and Last Name: Enter the employee’s full name.
  • Primary Email: Use the format  firstname.lastname@neuromatch.io .
  • Secondary Email: Provide the employee’s personal email address.
  • Phone Number: Leave this field blank.
  • Set up 2-Factor Authentication
Finally, click Preview and send to notify the user, then click Done.

Workspace/Drive

Add the new user to the relevant groups:
  • Click Groups and scroll to find the group Everyone.
  • Select the group and add the user.
  • If they are a full time staff member, add them to the Staff group.

Slack

Depending on the role, users should be added to relevant channels. All new users should also be added to these general channels:
  • #_announcements
  • #_onboarding
  • #_socializing
To add, click the channel and select Invite People.

Asana

Asana is our organization's project management software.
Add new employee as a full user with their Neuromatch email. Go do your photo or initials in the top right corner, "Invite to Asana".
Have manager:
  • Add employee to relevant projects.
  • Create a check-in project.

Other Systems

Review  Hammer and WrenchTools and Services  , and have the appropriate system admin add the new employee to the systems they need access to.

Access for Support Team Members

Support team members will need the following additional accesses:

Discord

Share the invite link to the servers with the user. Once they accept the invitation, add the Staffers and Organizer roles in each server, if necessary.

Portal

Go to  https://portal.neuromatchacademy.org/admin/ , scroll down, and click User.Add users as administrators, check the Staff box, and grant all permissions.

Support email

The team should have access to the following email addresses:
  •  support@neuromatch.io 
  •  nma@neuromatch.io 
To do this, you'll need to turn off security for those accounts through the Google Admin page. They will have 10 minutes to login.

Slack channels for Support team members

Users should be added to the following channels:
  • nma-support-emails
  • a-admin-[current year]
