Teaching Assistant Payment Instructions

Overview

After you have been given an offer to work as a teaching assistant, you will have to accept the offer before you can begin working with us. When you accept the offer, you will have to:
  • Complete acceptance in the  Portal 
  • Sign the teaching assistant contract
  • Complete the tax information and work eligibility forms
  • Provide your banking information
These occur in separate steps, each of which is described below.



Accept Offer in Portal

This is simplest of the steps. Follow the link provided to you in email, or go to  portal.neuromatch.io , navigate to your applications, and click on the name of the course you were accepted into to complete the enrollment.

Completing enrollment will direct you to complete the forms in the next steps.

Sign the Teaching Assistant Contract

To sign the teaching assistant contract, follow the link in the form to complete the digital contract. When the contract is complete, it will be emailed to you. Upload the signed contract with the form.

Wait for Contract Review

Your contract is manually reviewed by our team to ensure it was completed correctly, that you were an approved teaching assistant, and that there are no other issues with your profile.

After your contract is reviewed, the contract will be approved, and you will be sent an email to enter your tax information. The email has a link that is unique to you.

Usually this review process only takes ~2 days, but can take longer in some cases. If you haven't heard back after 4 days, please contact  support@neuromatch.io 

Complete Tax Forms

The tax form is unrelated to your payment/banking information. We, as a United States business, are required to collect these forms to demonstrate that we are following required labor and trade laws. You must fill out the tax forms accurately to your personal residence, citizenship, and living situation.

Terms and Definitions

  • United States Citizen: A person with citizenship in the United States because they were born in the US or it was given through some naturalization process.
  • United States Resident Alien: A foreign-born United States resident who is not a U.S. citizen. A resident alien is also known as a permanent resident or a lawful permanent resident. Select this option if you are not a citizen but you live/work in the United States and have a Green Card or have passed the substantial presence test.
  • Nonresident Alien of the United States: A person who is not a citizen of the United States and who has not passed a United States Green Card or substantial presence test. You should select this option if:
  • You are in the US on a visa (as a student or postdoc, for example)
  • You live and work in a country outside of the US and have nothing related to the US
Examples of Nonresident Aliens of the United States:
  • A PhD student from Germany who is studying in the US on Visa
  • A German citizen living in Germany
  • A German citizen living and working in Japan


Completing W8-BEN

If you are a nonresident alien of the United States, you must complete form W8-BEN. Below are some tips for completing this form.


Part 1

  • Item 1: Use your own, full, legal name
  • Item 2: List your country of citzenship.
  • Item 3: List your residential address (where you will live during the course), making sure to include the country
  • Item 4: Only needs to be completed if you have a different address for receiving mail
  • Item 5: Provide your US Social Security or Tax ID if you have one (most people completing this form will not have one)
  • Item 6a: Provide the tax ID number for the country you currently live in if you have one.
  • Item 6b: If you do not have a tax ID number, then check this box
  • Item 7: You can likely skip this.
  • Item 8: List your date of birth

Part 2 (II)

This section only needs to be completed if you are a nonresident alien of the United States who is in the United States on a visa.

We cannot provide specific instructions in filling out this section as it differs based on your home country.

If you are in the United States on a visa and do not complete this section, we will withhold 30% of your payment to pay as taxes.


Part 3

You do not need to check the box if you are completing this form yourself. Then do the following for each remaining line:
  • Provide your signature on this line.
  • Provide the date you signed the form.
  • Fill in your complete legal name.

Submit Forms and Wait for Review

After you complete the tax forms and upload the required documents, such as your W9 or W8-BEN, then you can submit your form.

You are not considered accepted as a contractor until you get a message that these tax forms are approved and correct. Reviewing these forms can take us 3-4 days, but is usually faster.

If your forms are rejected, you will receive an email explaining the deficiency and it will include instructions on how to correct it.

If your forms are accepted, you will receive an email with a link to enter your banking and payment information.

Once you receive an acceptance email, you are signed up to work with us. You can enter your banking information whenever you want, but it is not needed until the course completes. We will automatically send you periodic reminders to enter this info if you haven't.


Complete Payment and Banking Information

Depending on where you live, you will need to follow a specific payment process to be paid.


Determine if you Need a Proxy

If you live in one of the following countries, Neuromatch cannot pay you directly due to sanctions, but we are allowed to send money to a proxy. A proxy is a trusted person with a bank account in a non-sanctioned country who can accept money on your behalf.

People who live and work in the following countries need a proxy:
  • Cuba
  • Iran
  • North Korea
  • Russia
  • Syria

If you need a proxy, complete the form using your proxy's information (their name, address, bank information, etc).

Complete the Form

Enter all of your banking information into the form. It is very important that all information is entered accurately, including ensuring that the address associated with your bank account is listed correctly. Failures in this information can significantly delay payment. To ensure accurate information, you will want to double check your IBAN, SWIFT, and account numbers you use.

Wait for Review and Further Instructions

We will review your payment information after the course ends. When the course is complete we will review all payment and banking information. This can take up to 30 days.

If we reject your payment information due to errors we will send you an email with the issue and provide instructions on fixing it.

If we accept your payment information, we will automatically process it in the most appropriate method for your living situation. You (and your proxy if applicable) will receive an email indicating that your payment has moved to the next stage (this may appear as an automated invoice sent to our payment department or may be a notification of wire transfer).

if you live in one of our  'Automated Payment System' countries , then will automatically enter your payment information and send payment to you through  bill.com . Usually these payments go directly to your bank account, but you may need to check for emails from  Bill.com  with further instructions.

If you do not live in an automated payment system country, you will receive a wire transfer from us. The wire transfer normally succeeds in 1-3 days, but can take as long as two weeks.

If you do not receive payment into your bank account of yourself or your proxy within two weeks of receiving a 'payment sent' email, then please contact  support@neuromatch.io
