The goal of this toolkit is to make it easy for you to help share that registration is open and encourage others to apply as a student or Teaching Assistant. Here, you’ll find guidance, templates, and tips designed to keep your outreach simple, consistent, and impactful!


Share on social media

Social media is a powerful way to reach your broader network and encourage registration. Start by sharing Neuromatch’s official posts. Super-easy!
Next level up is sharing but also adding your own personal touch. Tell people how you’re involved in Neuromatch, mention a course you took, or highlight what you found valuable. This makes your message more relatable and explains why you are sharing it with your network.
You can also create your own personal post from scratch. For example, share a picture from your past pod or share what you got out of a course or TAing. Please include a link to the  courses  or  TA page , depending on what you are sharing.
Finally, don’t forget to tag Neuromatch or Climatematch in your posts. This helps others easily find the Academy and allows us to interact with your post!

Email your network

Email is a personal and effective way to reach people who might be interested in joining Neuromatch or Climatematch Academy. Whether you’re contacting PIs, your university, colleagues, or peers in your field, a well-crafted email can make all the difference. Below are ways to make your email outreach seamless and impactful.

Who to send your emails to?

Think about the people you already interact with in your work or study environment. You can email colleagues, your PI or lab head, students you mentor, or any professional or academic networks you’re part of. The goal is to reach people who would genuinely benefit from applying as a student or TA.

Email template

Emailing your network is a direct and personal way to let people know that Neuromatch and Climatematch Academy registration is open. By reaching out to students, colleagues, and peers, you can help spread the word and encourage others to apply as a student or Teaching Assistant. Feel free to  copy the text in this email template,  paste it into your email, and adapt it to fit your voice, experience, and the audience you're reaching.
Tips for personalizing your email:
  • Mention why you thought of them specifically.
  • Share specifics about how you have been involved in the Academy.
  • If there is a specific course they are likely to be interested in, highlight that!

Use your  neuromatch.io  or  climatematch.io  email

All volunteers and Ambassadors receive a permanent @neuromatch.io or @climatematch.io email address. We encourage you to use it for sharing information that registration is open. This ensures your messages are recognized as part of the community and can help you keep communications organized.

Adding an email signature

Volunteers and Alumni are welcome to include a Neuromatch affiliation when sharing information about the Academy. This Affiliation normally goes under your name when you sign-off.
Examples of affiliation formats for different roles:
  • Deep Learning 2025 Teaching Assistant, Neuromatch Academy
  • Volunteer, Climatematch Academy
  • Climatematch Academy Alumni 2024
  • Neuromatch Ambassador
After your affiliation, you can  add our logo  and some hyperlinks (see 'Helpful links' below).

Attachments you can include

Want to make your email even more engaging? You can attach helpful materials like the  Academy Info Session slides  or  posters  about Neuromatch or Climatematch Academy or specific courses. This makes it easy for recipients to quickly see key information, share it further, or get excited about applying.



Share to your online communities

Think about the online communities, forums, or groups you’re already part of; Reddit, Discord, message boards, or listservs. You can adapt your personalized email to share with these networks: shorten it, make it conversational, and highlight what’s most relevant to that audience.


Print a poster

Posters can be great to print but also to attach to an email. We’ve created a variety of posters in multiple formats so you can share them in your community, on campus, or at local events as handouts. Options include low-ink versions (easy for at-home printing) and full-colour versions (great for display or handouts or attaching to an email).


Include in your next presentation

If you’re giving a talk, lecture, or presentation before applications close, you can add slides about Neuromatch or Climatematch Academy to share with your audience. We've prepared a  🌟variety of slides  that you can borrow and adapt depending on the time you have to present. Best practices and etiquette tips

We want your outreach to be impactful, not overwhelming. Please keep these guidelines in mind:
  • Personalize your messages: include your own experience with the Academy to make it meaningful.
  • Tailor your message to the audience: highlight why the person or group might benefit from the Academy.
  • Respect community rules: check guidelines before posting on forums or listservs.
  • Focus on quality over quantity: thoughtful, targeted outreach is much more effective than sending to everyone you know
